Document retrieval, translation and legalisation

Legalisation of documents is the procedure that ensures official documents are recognised and comply with the laws and requirements of another country. It usually involves an apostille or consular legalisation. Before starting, study in detail the requirements of the country where the documents will be submitted and follow the relevant procedures and requirements.

Our document legalisation service matters to anyone who needs properly prepared documents for use abroad. We ensure quality and efficiency and give you information on the legalisation process, timescales and costs, so that you can use our services with ease. On 24 August 2023 a Memorandum of Cooperation was signed between associations and communities in the Italian Republic. This date will go down in history. The Coordination Centre of Ukrainian Associations brings many associations together to support Ukrainians living in the Italian Republic.

Every Ukrainian living abroad has run into a problem with documents: translations, a missing certificate of one kind or another, apostilles. An apostille certifies that a document comes from the relevant authority and confirms the authenticity of the signature and seal of the foreign public official.

We know all the ins and outs, and our advice will come in handy.

Our 10 years of experience give you a great opportunity to receive highly qualified advice from the Sindacato.

Document retrieval

Document retrieval, translation and legalisation

We work with agencies in Ukraine that retrieve documents.

Documents issued in Ukraine are apostilled in Ukraine.

This entry is made by the civil registry office where the marriage record is kept

    Retrieval of education documents.
  12. Education documents – Donetsk, Luhansk, Crimea, Simferopol
(new-format documents requested from educational institutions and entered in the Register of Ukraine, to be legalised afterwards)
  13. Certificate of Good Standing (CGS)
Also known as a certificate of professional standing, it confirms the good reputation of a medical professional.
A Good Standing Certificate confirms that no disciplinary, administrative or judicial penalties were imposed on the applicant while working as a doctor, i.e. that nothing prevents them from practising medicine

To obtain it you need to provide:

  • good-quality copies of education documents (diplomas, supplements, certificates, qualification and category certificates),
  • employment record books,
  • copies of your Ukrainian passport and international passport,
  • documents confirming a change of surname.

Additional documents relating to the certificate may be requested while the application is being reviewed. The list of documents required for a Certificate of Good Standing varies from case to case.
A Good Standing certificate is valid for 6 months, but many foreign medical organisations require it to be no more than 3 months old. The validity of a Good Standing Certificate cannot be extended.
Certificates are issued in English, German or Ukrainian, as ordered. The document is issued as a statement or certificate naming the specific body that requests it.

Legalisation of documents

Document retrieval, translation and legalisation

We follow a well-established procedure.
We keep our list of translation agencies constantly up to date and welcome new offers of cooperation.
You can order a set of documents, translation and apostille by post from one of the agencies.
All documents must be properly translated into the language of the country concerned and legalised.
In Italy the apostille is affixed by the courts (Tribunale) and the prefectures (Prefettura).
Ukraine and Italy are both parties to the 1961 Hague Convention, which simplifies the legalisation of documents. This means that for documents issued by the competent authorities of the parties to be recognised, it is enough for them to bear an apostille certifying the signature of the official who signed them.

Documents issued in Ukraine are apostilled in Ukraine.
Documents issued in Italy receive their apostille in Italy.
